Managing user access and permissions


Collaborating with your team is a core part of the Propeller experience. Whether you’re inviting an external party to view a specific site or giving a teammate full admin rights, here’s how to manage access securely and effectively.

Understanding permission levels

In Propeller, permissions are "stackable." By default, everyone you invite starts with View only access, which means they can see the map but cannot see measurements, designs, or reports.

To give users more access, check the relevant boxes:

  • Inspect: View measurements, designs, and files. They can’t create or delete anything.

  • Measure: Create, edit, and delete measurements.

  • Export: Download data and reports.

💡 Tip: Combine Inspect and Export to let users see and download survey files and reports.
  • Edit Media: Upload, edit, and comment on site photos.

  • Edit Design: Upload, edit, organize and delete designs. Manage design folders and their links.

  • Edit Site: Change your site CRS, manage workspaces and site materials, and create crew links.

  • Process: Upload raw survey data for processing and edit terrain cleanups.

  • Manage access: Invite other users to the site and change their permission levels.

  • Create workspace: Create, update, and delete specific workspaces within the site.

ℹ️ Note: An Administrator can see and manage every site and user within your entire portal. Use the toggle switch at the top of the invite screen to grant this.

How to invite a user to your portal

  1. Go to your settings (Settings Icon.png) in the sidebar.
  2. Select People & teams (People Icon.svg) under Organization settings.
  3. Enter the user's email address and click ADD PEOPLE.
  4. Define the user's permission levels on multiple sites and allocate team membership (if any).

  1. Click invite.

How to invite a user to your site

  1. You have two options:

From your home page

Click the (three-dot menu.png) button inside the site tile.

From your map view

Click the Share button in the top right.

  1. Enter the user's email address under Invite by people or team or copy your portal link.

ℹ️ Note: Changing the permissions after the link is sent will not change the link’s URL. To change the permissions, select the DELETE AND RESET button to disable the current link and generate a new link with the new permissions level.

  1. Select the permission levels they need from the list.

  2. Click Invite.

Managing access requests

If a user requests access to your site, you’ll see a red marker in your settings.

  1. Navigate to Settings > Sites & Access.

  2. Click the Requests tab.

  3. Review the pending names. By default, approvals are set to View only access, but you can change this using the Permissions dropdown for each person.

  4. Click the tick icon to approve or the cross icon to reject. You can also use Approve All to save time.

Managing and removing existing users

Need to change someone’s access or remove them from a project?

  • Head to the People & teams (People Icon.svg) inside your organization settings.

  • Search for the user.

  • Click the three dots (three-dot menu.png) next to their name to edit their permissions, demote an admin, or remove them from the site entirely.

ℹ️ Note:  When you remove a user, they will lose all access to the portal, teams, and the sites. Any measurements and designs that have been generated by a removed user, will not be deleted.

Why can't my teammate see the data?

If someone has been invited but still can't see what they need, check these common fixes:

  1. Site vs. Portal: Ensure they were invited to the specific Site they are trying to view. Being a member of the Portal doesn't automatically grant access to every site unless they are an Administrator.

  2. Inspect requirement: If a user can see the map but no measurements or designs, check that they have Inspect permissions.

  3. Teams and Folders: If your site uses "Teams," make sure the user has been added to the specific team assigned to that folder or dataset.

  4. Aeropoints dashboard: Access to your AeroPoints dashboard is managed separately from access to your portal. Please refer to How to Manage Users in the AeroPoints Dashboard for more information.
