How to use Media in Propeller Desktop

The Media tab brings all your site photos, 360 images, and panoramas together on an up-to-date map, so field and office teams can review, organise, and discuss site documentation in one place.

ℹ️ Note: You must have a Field license with at least one seat to activate the Media tab for your organisation. Any user with Edit Media permission can upload, create, comment, and edit media. Any user with Inspect permission can view media.

Upload media

Upload on desktop

  1. Open the site you want to add media to.
  2. Click the UPLOAD button in the top bar and select Media.
  3. Select your files. Browse for the images you want to upload (.jpg, .jpeg, or .png). To select multiple files, hold Ctrl (Windows) or Cmd (Mac).
ℹ️ Note: 360 images are detected and handled automatically — just upload your file as normal and Propeller will recognise it as a 360 image. No extra steps needed.
  1. Rename the media and organise different media into appropriate categories.
  2. Choose a destination. Select the workspace and folder you want to upload into.
  3. Set a pin location. If an image has GPS data, it pins automatically. If not, use the crosshairs on the map to set the location manually
  4. Click UPLOAD TO SITE.

Once uploaded, the media appears in the Media tab and on the map.

💡 Tip: When uploading multiple images without GPS data, you can pin them all to one location or set individual locations for each.

Upload on mobile

With the Propeller Mobile app, you can capture and upload photos directly from the field. Images are pinned to the exact location they were taken and uploaded into the workspace and folder of your choosing.

For mobile-only steps — capturing photos, pinning locations, downloading, deleting, and commenting — see How to use Media in Propeller Mobile.

View and navigate media on desktop

  1. Click the Media tab in the left-hand panel.
  2. All media on the site appears in the panel, and any media you toggle on appears as pins on the map.

From here you can:

  • Filter media by capture date, upload date, categories, author, and zone to find what you need quickly
  • Filter by zone — draw a shape directly on the map to instantly filter your media list to only the captures within that area, the same way zone filters work on measurements
  • Use split-screen view to see media and the map side by side, so you can connect photos to their exact location on site
  • Browse on-map clusters — nearby images are grouped into clusters showing a count; click a cluster to browse images in a carousel without losing your map position
  • Open in a new window (desktop only) by clicking the three-dot menu on any image — useful for multi-monitor setups or keeping a reference photo open while working on measurements
  • Toggle visibility of individual photos on the map to control what's displayed

Click any image to open it in the media viewer and see detailed information, comments, and location data.

💡 Tip: On mobile, tap Show map inside the media viewer to view all visible media, designs, measurements, and survey layers on the map without leaving the viewer.

Organise media with workspaces and folders

Media is managed at the workspace level, matching how measurements and designs work in the platform. Each workspace can have its own folder structure.

Create a folder

  1. In the Media tab, select the workspace you want to organise.
  2. Click New folder and enter a name.
  3. Drag and drop media items into the folder, or use the bulk action bar to move a selection.

Move media between workspaces

  1. Select the media item or items you want to move
  2. Click the “Move to” icon and:
    1. use Shift+Click to select a range, or
    2. use Cmd+Click (Mac) or Ctrl+Click (Windows) to select individual items, or
    3. use the bulk action bar
  3. then select a new workspace as the destination.
ℹ️ Note: Creating folders, subfolders, and moving media between workspaces is only available on desktop. These actions cannot be performed from the mobile app.

Bulk actions

To act on multiple items at once:

  1. Select items using Shift+Click, or Cmd+Click (Mac) / Ctrl+Click (Windows).
  2. Use the bulk action bar to move, organise, delete, or create folders from your selection.

Collaborate on media

Media comments let teams discuss site conditions in context.

  • @mention a team member to loop them into a conversation
  • Reply in threads to keep discussions organised
  • React with emoji for quick feedback
ℹ️ Note: Commenting requires a Field license. Users with Inspect permission can view media in public workspaces.

Create a media report

On desktop, you can compile selected images into a shareable PDF report.

  1. In the Media tab, toggle on the media items you want to include.
  2. Navigate to Outputs > Media Report.
  3. Configure your report settings and click PRINT.

Media reports follow the same format as existing measurement and stockpile reports.

ℹ️ Note: Media Reports are only available on desktop.

When downloading an image from Propeller, you can embed a stamp with key metadata directly onto the file.

  1. Download the image using one of these options:
    • Option 1 (media list): Click the three-dot menu next to the desired media and select Download.
    • Option 2 (media viewer): Open the image, then click Download in the top right.
    • Option 3 (bulk download): Select multiple images, then click Download in the bulk action bar.
  2. Select Download image with stamp
Media Download Options.svg
  1. Choose which metadata fields to include on the stamp, such as location, capture date, categories and site name.
  2. Select the stamp placement and download quality.
  3. Click DOWNLOAD.

The downloaded image includes the stamp, making it easy to share clearly labelled site photos with clients, subcontractors, or anyone who needs context without platform access.
